Real Estate Transaction Coordinator | Office Administrator
The Snyder Team is seeking a highly organized and detail-oriented Transaction Coordinator to manage the administrative tasks involved in real estate transactions. The coordinator will be responsible for ensuring that all necessary documents are collected, processed, and submitted within the required timelines while maintaining effective communication with clients, agents, lenders, title companies, and other stakeholders. This position plays a key role in ensuring smooth and timely closings, helping to enhance the client experience.
Responsibilities:
Transaction Management:
• Oversee all aspects of buyer and seller transactions from executed purchase agreement to closing.
• Create and manage timelines to ensure all deadlines are met, such as financing, inspections, and contingencies.
• Maintain accurate and complete transaction files in compliance with state and brokerage regulations.
• Ensure the collection of all necessary signatures on various transaction documents.
Client and Vendor Coordination: • Serve as the main point of contact for clients, keeping them informed of the transaction status.
• Coordinate with lenders, title companies, home inspectors, and appraisers to ensure the timely processing of paperwork and services.
• Assist agents in solving any transaction-related issues that arise.
Documentation and Compliance: • Review contracts, disclosures, and other real estate documents for accuracy and completeness.
• Track and submit transaction paperwork to the brokerage's compliance team.
• Ensure that all transaction files comply with legal and brokerage standards.
Administrative Support: • Input transaction details into relevant systems (e.g., CRM or transaction management software).
• Provide agents with administrative support as needed, such as scheduling inspections or following up on outstanding items.
• Prepare and send out closing gifts and thank-you letters to clients post-closing.
• Assist in drafting paperwork and executing documentation to support the transaction.
• Keep the office environment clean and prepared for agents/clients.
• Monitor CE requirements for team agents and communicate requirements and deadlines for CE completion.
• Participate in the "project task force" to bring special projects to enhance productivity, etc.
• Assist Team Leaders as needed in other general administrative tasks.
Communication: • Maintain consistent communication with all parties involved in the transaction, including clients, agents, lenders, and attorneys.
• Keep real estate agents informed about transaction progress and assist with troubleshooting any potential issues.
Qualifications:
Experience: • 2+ years of experience as a Transaction Coordinator or in a similar role within the real estate industry.
• Familiarity with the residential real estate market and transaction process.
• Knowledge of real estate contracts, forms, and legal requirements.
Skills: • Strong organizational and time-management abilities, with exceptional attention to detail.
• Excellent communication and interpersonal skills.
• Proficiency with transaction management software (e.g., Dotloop, Skyslope, or similar).
• Ability to work in a fast-paced environment and manage multiple transactions simultaneously.
• Customer service mindset and a passion for ensuring a positive client experience.
Education: • High school diploma or equivalent required.
• Real estate license required.
