Key Responsibilities
Executive Support (60–70%)
· Serve as a trusted partner to the Owner, helping to organize, prioritize, and track daily, weekly, and strategic goals.
· Manage and maintain the Owner’s calendar, proactively scheduling meetings and reminding of deadlines.
· Filter communications (email, phone, text), prioritize responses, and draft correspondence when appropriate.
· Follow up on delegated tasks and hold others accountable for deliverables and timelines.
· Assist with personal tasks or errands when needed to maximize the Owner’s focus on high-value business matters.
· Book travel, plan logistics, and support any personal or professional engagements.
· Provide high-level administrative support across departments on behalf of the Owner.
Office Management (30–40%)
· Oversee daily operations of the office and ensure smooth workflows.
· Greet and assist clients or vendors in a professional, welcoming manner.
· Maintain office supplies, manage vendor relationships, and coordinate office maintenance or service needs.
· Support HR needs such as onboarding new hires and ensuring documentation is complete.
· Ensure office policies and procedures are current and followed.
· Assist in planning internal meetings, team activities, or company events
Qualifications
· 3+ years of experience as an Executive Assistant, Personal Assistant, or in a similar right-hand support role
· Strong communication and interpersonal skills
· Highly organized with exceptional time management and task prioritization abilities
· Professional discretion in handling confidential information
· Tech-savvy: proficient in Microsoft Office (Word, Excel, Outlook), Google Workspace a plus
· Positive attitude with a self-starter mentality—anticipates needs before they arise
· Previous experience supporting a founder/owner or small business is a plus
· Experience in automotive, sales, or high-end retail environments is a bonus
